Reporting to the Procurement Manager, the Purchasing Executive is responsible for overseeing procurement activities to secure high-quality goods and services at optimal costs and delivery schedules. The role involves strategic sourcing, supplier negotiations, maintaining accurate procurement records, and ensuring compliance with company policies and regulations. Collaboration across departments to enhance efficiency, conduct supplier evaluations, and support continuous process improvements while upholding ethical procurement standards. The role will be based in Sungai Jawi, Penang.
The Purchasing Executive will be responsible to:
- Formulate procurement objectives and goals to ensure all goods and services purchased are the highest quality, lowest costs and shortest delivery schedule.
- Support strategic sourcing strategies that deliver cost efficiencies, supply assurance, and quality while maintaining optimal inventory levels.
- Research and identify reliable suppliers, negotiate pricing, and ensure timely delivery of materials.
- Ensure smooth implementation of purchasing activities from requisition; invitation to bid, supplier evaluation and selection, and award of purchase order to delivery of goods and services.
- Maintain accurate records of purchases, contracts, and suppliers’ information.
- Conduct yearly supplier performance evaluation.
- Identify and implement process improvements to increase efficiency and leverage planning.
- Able to work across departments and coordinate with team members to deliver maximum value to internal customers.
- Ensure timely submission of all invoices and delivery orders to the Finance Department; all purchasing records are properly documented and stored.
- Ensure compliance with company policies, industry regulations and ethical standards in all procurement activities.
- Understand on the requirements for a QMS, including documented information, planning and determining the process interactions.
- Ad-hoc tasks assigned by the HOD from time to time.
The Ideal Candidate:
- Bachelor’s degree in Procurement, Supply Chain, Business Administration or a related field.
- Minimum 3 years of experience in procurement or purchasing roles.
- Strong negotiation, communication, and analytical skills.
- Proficient in inventory management and procurement software/tools.
- Knowledge of supplier evaluation, souring strategies, and cost analysis.
- Familiar with relevant regulations and ethical procurement practices.
- Ability to work collaboratively across departments and meet tight deadlines.
- Possess own transportation.
